General Terms & Conditions

This page (together with the documents referred to on it) tells you ("you" means the individual using the Website) the terms and conditions on which we supply any of the CIPS products and services (Products) listed on our website www.cips.org (Website) to you.  Please read these terms and conditions carefully and make sure that you understand them, before ordering any Products from Website.  You should understand that by ordering any of our Products, you agree to be bound by these terms and conditions and the specific individual Product terms and conditions listed below (hyperlinks available).

You should print a copy of the full terms and conditions for future reference.

Please understand that if you refuse to accept these terms and conditions, you will not be able to order any Products from our Website.

General terms

1. Contract with the Customer
No contract shall exist between you, the customer, and CIPS until an email has been sent confirming your order. CIPS reserves the right to withdraw from any contract in the case of obvious errors such as false personal or payment details.

 

2. Availability and Pricing
The availability and pricing of goods on the CIPS website (www.cips.org) and its subdomains are valid at the time of your visit and are subject to change without notice. There is an additional charge, dependent on the item(s) ordered, for postage and packing. This charge will be clearly displayed on your order form. In the unlikely event that the items you have ordered are unavailable, we shall email you a notification of the current status of your order and a) inform you the estimated time of delivering your item(s) (see 3. Delivery of Goods) or b) give you the opportunity to cancel your item(s) or order.

 

3. Payment
Payment can be made by any of the following cards.

4. Delivery of Goods
When you have placed an order with the CIPS Bookshop online, every effort will be made to dispatch your goods within one working day of receipt-of-payment, although this cannot be guaranteed. If the order cannot be despatched within three working days, you will be notified by email and given an opportunity to modify the order if appropriate. If necessary, the CIPS Bookshop may deliver individual items from a single order separately. In this case you will be charged for postage and packing on the first delivery only.

 

5. Data Protection Notice
CIPS will hold your contact details on its database. Your data will never be sold or released to a third party to use for their own purposes. CIPS will retain your data and will use it only to communicate with you on CIPS-related issues and to provide information that may be of use to you for the future. View the CIPS Code of Practice on the above tab and Privacy Statement for Data Protection or to obtain a hard copy from any member of the Public Training Team. CIPS commits that its policy and security statement on Data Protection applies equally to members and non-members.

 

6. Returns Policy
If you cancel your order within seven (7) Working Days after the date of delivery and there has been no error on our part you must immediately return the unwanted items, unused and in the same condition in which you received them, to the following address:

All items returned must be repackaged securely and within the package you should include your invoice number, email address or telephone number and instructions as to whether you would like a refund or to exchange the item(s). Refunds and exchanges will be processed as soon as possible, but in any event in no more than 30 days. If you are returning an item that was part of a larger order, we will only refund that part of the order and postage that relates to the item that was returned 

Under the Distance Selling Regulations, if you buy online or by phone, your consumer rights entitle you to a full refund if you request one in writing within seven (7) Working Days of receipt. 

If payment for the order was originally made by credit or debit card, any refund will be made back to the same card. If payment for the order was made by another method, such as cheque or bankers’ draft, a refund will be made by direct bank transfer to a bank account that you elect.

Membership records code of practice

  1. Your data is never sold to a third party.
  2. Your data is never released to an independent third party to use for their own purposes.
  3. Your data is constantly checked for accuracy and unused data is retained for ten years, following which this is permanently deleted.
  4. Your data is kept in a secure system which is password protected and covered by a Data Protection Security Policy.
  5. All staff with access to your data are contractually bound to keep this confidential.
  6. Your contact details are provided to Agents conducting business on our behalf. However, all agents who process data on our behalf are contractually obliged to keep that data secure and only use it for the agreed purposes - examples would be your magazine distribution, reproduction and dissemination of your membership card, etc.
  7. If you are a Student your contact details are provided to the appropriate Educational Establishments in order that the studying and examination process can take place efficiently.
  8. Following the examination process your results are provided to appropriate educational establishments.
  9. When you gain full Membership via the Graduate Diploma your name may be published in the national press to publicly record your achievement.
  10. Examination results are provided to your current employer upon request - requests such as these are not common and normally relate to situations where the employer is funding the study.
  11. Confirmation of your Membership status is provided to current or future employers upon request. No Sensitive Personal Data as specifically detailed in the Act is processed by the Institute.
 

The general data we hold about you on the system is as follows:

  • Name
  • Date of Birth
  • Addresses (home and work)
  • Contact telephone number(s) (home, work and mobile)
  • Contact e-mail address
  • Date of Joining CIPS
  • Membership Status and Grade
  • Career details - current job/employer/salary
  • Skills and Interests
  • Purchases you have made from the Institute
  • Enquiries and contacts you have made to the Institute

 

For the examinations process:

  • College details
  • Current qualifications and experience
  • Exemption details as appropriate
  • Examination marks/results
