Logistics Coordinator

ABOUT THE ROLE

This position is in-charge in day to day shipment processing, documentation, and coordination with the clients.

WHAT YOU WILL BE DOING

Reporting & Updating to the Tracking System
  • Enters and fills in the appropriate system of all received purchase orders and their respective follow-up with vendors.
  • Reconciles of cargo received into the store on a daily basis.
  • Updates the mandatory fields in the tracking system in a timely manner to reflect the correct status of the purchase order/shipment,.
  • Compiles and dispatches of customer reports on a daily/weekly basis.
  • Compiles and prepares monthly activity reports outlining freight volumes, expedition details and any extraordinary shipment.

Expediting
  • Maintains contact with vendors to ascertain availability of orders; updates of tracking systems and obtains commercial documents.
  • Expedites cargo on a daily/weekly/monthly basis depending on in-place arrangements and degree of urgency
Cargo Booking and Shipment Coordination

Preparing Quotations and Invoicing
  • Arranges booking of freight space with air or sea carriers.
  • Processes shipment planning to attend to the clients needs.
  • Coordinates with customers on issues relating to freight volumes in store earmarked for dispatch by sea/air.
  • Manages and coordinates with clearing and transport departments to ensure appropriate and cost-effective transport arrangements are in place.
  • Processes export customs clearances entries and containers pre-receivals advises for Australian origin shipments.
  • Investigates and determines on a job-by-job basis the most cost-effectivee and time-relevantt method of freight expedition to achieve required results for both customer and company.
  • Coordinates and manages overseas orders with appointed overseas agents.
  • Sends pre-alert advice to client and / or agent at destination.
  • Prepares freight & transport quotation documents for clients.
  • Negotiates rates with carriers and overseas agents.
  • Review and process creditor's invoice and prepare billing to client.

  • Maintains a professional level of communication with internal and external customers to address any queries that may arise.
  • Attends to customer's inquiries in a timely and professional manner.
  • Participates in development and implementation of new tools and processes of the department.
  • Maintains awareness and knowledge of Company organizational development plan, theories, SOP, KPI and implementation procedures.
  • Complies to corporate and departmental policies, procedures and service standards in conjunction with management.
  • Ensures adherence to legal and company policies and procedures and undertake disciplinary actions if the need arises
  • Performs any other duties as maybe required by the immediate leader.

Requirements

THE SUCCESSFUL CANDIDATE

Essential:

  • Good oral and written communication skills in English
  • With solid background in Freight Forwarding Operations
Desirable:
• Graduate of Customs and Administration or any related course
• With experience in cargowise system
